Where this policy is applicable

This policy is applicable to any data collected on www.baileyrobinson.com or by a Roxtons employee for storage in Roxtons' internal database.

Understanding what we collect

Roxtons collects three types of information:
Information pertaining to your website preferences -to provide an enhanced user experience, we employ cookies - small text files that are generated by the website but are stored on your computer - to keep track of your website preferences. These preferences include, but are not limited to, language information and home country. Each time you visit the site, the computer that runs our website reads the cookie from your computer and presents the site according to the data in the cookie, saving you the time it would normally take to set preferences. The data in our cookies is encrypted and therefore can not be linked to any information that identifies you personally.

- Technical data - each time you visit a page on our website, our website automatically records certain information - for example, the time of visit, the address of the page visited and any error messages you received while accessing the page. This data is recorded regardless of whether or not you registered or have cookies enabled.
We use background information purely for technical purposes. It helps us conduct website maintenance and allows us to troubleshoot technical problems. This information is not combined with any other forms of information we collect nor is it scanned to provide trend or demographic information.

- Data you explicitly provide Roxtons - this information is collected when you register with the website. Upon registering, you can choose to receive communications from us and also communications from selected third parties. Registration information is stored in our internal database system, which is accessed by our sales, accounting, and information systems staff. It is used solely to conduct business, and it is always handled discretely and in a manner which safeguards your privacy.

Data sharing

As part of its business, Roxtons works with property owners, guides, partners in similar industries and other third parties. Any data collected on a third party site and then subsequently shared with Roxtons under agreement with that company is subject to that company's own privacy policy, not to that of Roxtons.

In order to conduct certain business transactions, Roxtons may also have to share explicit information with third parties to fulfil sales. While we will not knowingly share your information with a party that will compromise your privacy, we cannot be held responsible for a third party's management of your data.
We will also, from time to time , do promotions with specially selected business partners. During registration, you have the option to opt-out of third party sharing for marketing purposes. If you opt-out, you will not receive material or promotions from any third parties we have agreements with. Roxtons will not sell your information to third parties for any purpose.

Contacting you

In conducting business transactions, Roxtons will contact you by e-mail and/or telephone.
At certain times, Roxtons may also run contests or promotions that exist outside our normal contact channel. If you choose to participate in these contests or promotions, we will use your personal information to contact you regarding the promotion or contest you entered.

In addition, during registration, we provide you with the option to receive Roxtons marketing newsletters or to opt out of this service.

Data maintenance and security

Roxtons considers your data's security when we upgrade our technology. Old computers are recycled and their hard drives are always removed before they leave our offices and kept in secure storage.

We perform regular backups of our database systems and web servers, and we store monthly backups in a secure location. While we can not guarantee 100% security from unauthorized access, we take every reasonable effort to ensure that the data on our servers and on our backups remain safeguarded.

Maintenance of cookies is not under our control, as cookies are stored on your own computer. Most modern browsers have an option to remove cookies currently stored on your computer. Please see above for more information on cookies.

There are the terms and conditions for the Roxtons at Home prize draw. By submitting an entry for this prize draw, entrants acknowledge and accept the above terms and conditions, and also are agreeing to accept the booking conditions of Roxton Bailey Robinson Worldwide, Roxtons' parent company. Please see our privacy policy for more details.

The non-holiday related offers will be supplied by Roxtons as follows:

• Berry Brothers & Rudd or Amazon vouchers - to the value of £50; only one voucher per person
• Tate Gallery annual membership - at cost for one individual for one year only
• A free annual subscription to either Trout & Salmon, Shooting Gazette or The Field - at cost for one annual subscription only

These offers are subject to the following terms and conditions
1. All entrants must be over 18 at the time of entry.
2. Winners will be the next 50 drawn after the holiday prize winner has been drawn
3. The prizes are non-transferable. There will be no cash alternative or refunds.
4. Entries must be received no later than 15th June 2007.
5. Only one entry per address is permitted.
6. Offersto be taken prior to 19 December 2007 or they will expire.
7. Employees, partners and associates of Roxtons are not eligible to enter.
8. Incomplete or unreadable entries will be disqualified from entry.
9. Responsibility cannot be accepted (and the promoter shall not be liable) for lost or delayed entries.
10. All entries become and remain the property of the promoter.

13. Roxtons has the right to change these terms and conditions from time to time.

The holiday offer that is made by Roxtons is as follows:

• Three nights for two in standard double room at Four Seasons Resort Provence at Terre Blanche, including flights and accommodation and excluding transfers, meals, drinks and all activities not included in accommodation price unless noted
• One free treatment at the Hotel's spa, as specified and provided by the Hotel

The accommodation should be booked through Roxton Bailey Robinson Worldwide and is subject to availability, the conditions listed above and the following additional terms and conditions:

1. The prize will be subject to Roxton Bailey Robinson Worldwide's standard booking conditions (link)
2. Booking dates the offer excludes are: 2nd to 21st April, 2007, the months of July and August 2007 and 19th December, 2007 to 4th January, 2008.
